How to write an email from a note

  1. Describe the email: who it is for, what you want from them, and the facts that must appear (dates, names, amounts). A counter under the box shows how much of the 2,000-character allowance you have used and turns red if you paste more.
  2. Pick a tone: Professional, Friendly, Formal, Apologetic or Persuasive.
  3. Click Write email. The draft arrives with a 'Subject:' line first, a blank line, then the body.
  4. Copy it, paste the body into your mail client, move the subject into the subject field, and check every name and date before sending.

What the draft looks like

The model is instructed to put the subject on the first line as 'Subject: ...', then a blank line, then a complete body with greeting, paragraphs and sign-off, in the language of your note. It only knows what you tell it: leave out your name and the sign-off may read '[Your Name]'; leave out the recipient and you get 'Dear Team' or 'Hi there'. The output budget is about 500 English words, which covers any sensible email but will truncate a long formal letter.

One brief, five subject lines

Brief used: 'Remind our client Marco that invoice 1042 for 2,400 euros was due on 5 October and is still unpaid. Payment link is in the original email. We need it before we can book the November work.'

ToneSubject line it tends to writeHow the body opens
ProfessionalInvoice 1042 now 14 days past dueA quick reminder that invoice 1042, due 5 October, remains unpaid.
FriendlyGentle nudge on invoice 1042Hope all is well. Invoice 1042 slipped past its due date two weeks ago.
FormalOverdue payment: invoice 1042 (2,400 EUR)We write to inform you that invoice 1042 is now fourteen days overdue.
ApologeticSorry to chase: invoice 1042Apologies for chasing, and I am sure it is an oversight, but invoice 1042 is two weeks overdue.
PersuasiveSettle invoice 1042 today and keep your November slotClearing invoice 1042 today keeps your project at the front of our November schedule.

The same four facts appear in every version; what changes is the distance between writer and reader. Notice that Apologetic puts the blame on the sender, which is wrong for a late payer, and that Persuasive invents nothing but turns the 'November work' fact into a reason to act now.

Picking the tone

TonePick it whenAvoid it when
ProfessionalMost work emails, first contact with someone you do not knowWriting to a close colleague, where it reads cold
FriendlyColleagues, regular clients, follow-upsComplaints, legal matters, bad news
FormalOfficials, institutions, anything that might be forwarded upwardQuick internal questions
ApologeticYou made the mistake and are putting it rightThe other side is at fault; it concedes ground you should keep
PersuasiveAsking for a decision, budget, a meeting or a favourDelivering information with nothing to decide

What belongs in the brief

  • The recipient and your relationship to them, for example 'my landlord', 'a customer I have never met'.
  • One clear ask. Two asks in one email get buried; write two emails.
  • Exact facts: order numbers, amounts with currency, dates with the month written out.
  • Any constraint: 'under 80 words', 'do not mention the budget', 'sign off as Dana, Operations Lead'.
  • If you are replying, paste the message you received below your note; it counts toward the 2,000 characters.

Checks before sending

  • Placeholders in square brackets mean a detail was missing from the brief.
  • Watch for 'please find attached' when there is no attachment, and for a meeting time the model assumed.
  • Trim over-apologising in the Apologetic tone; one apology is enough.
  • The subject line is part of the copied text, so cut it from the body and paste it in the subject field.
  • Dates: the model does not know today's date, so 'next Friday' in your brief should be written as a calendar date.

Where the note is processed

Your note goes to this site's API and from there to an open-weight model running on Groq's infrastructure. We hold no copy of the brief or the draft, and no email is sent from here. Keep passwords, card numbers and other people's private details out of the brief, because a third-party service processes it.

Frequently asked questions

How do I use the email writer?

Describe what the email should say — who it's for and the key points — pick a tone, and generate. You'll get a subject line and full body you can copy, edit and send.

Can it match a specific tone?

Yes. Choose professional, friendly, formal, apologetic or persuasive, and the email is written to match.

Should I review the email before sending?

Always. The draft is a strong starting point — check names, dates and details, and tweak anything before you hit send.

Is it free?

Yes, it's free to use without an account. To keep it available for everyone, very frequent requests are briefly rate-limited.

Can it write a reply to an email I received?

Yes. Paste the incoming email into the box along with a line saying how you want to respond, for example 'decline politely, offer next month instead'.

Why does the draft say [Your Name]?

The model fills in only what the brief contains. Add 'sign off as Priya Shah, Account Manager' and the placeholder disappears.

Can I set a word limit?

Yes. Write 'keep it under 60 words' in the brief. The model follows length instructions closely for short targets.

Does it write emails in languages other than English?

Yes. The draft comes back in the language of your note, subject line included.
